The Nakoma Club is designated for the use and enjoyment of all Owners at the Windsor Gate Development. In order to ensure access to all facilities for the Owners, exclusive use booking will be limited as outlined below.
Designated rooms may be used for private parties for Windsor Gate Development Owners, Tenants and Occupants only; other rooms may be booked if approved by the Nakoma Club Committee.
The designated rooms available for private rentals include: Multi-Purpose/ Activities Room, Crafts Room, Theatre Room, and Gymnasium.
No Commercial type activities are permitted.
No individual booking is allowed for any rooms on Statutory Holidays, Dec 24, and Dec 31.
No booking of Outdoor Facilities is permitted. Pools and decks are open to all Owners at all times, unless approved by the Nakoma Club Committee.
Booking a private function does not entitle guests to use of the swimming pool, hot tub or any other amenity room within the Nakoma Club.
BOOKING PROCEDURES & FEES:
Booking Procedures: Facility rooms must be booked a minimum of two week in advance. All bookings are made through the Manager. A form accepting responsibilities and understanding of facilities rules must be signed at the time of booking. Cheques for both the damage deposit and booking fees must be received a minimum of two weeks prior to the reservation or on the date of reservation if booked less than two (2) weeks prior to the event.
No room rental bookings will be accepted more than sixty (60) days in advance.
Owners are permitted one active booking at a time.
Booking Fees – Activities Room, Crafts Room, Theatre Room & Gymnasium: A non-refundable fee as per the below schedule will be charged for each booking. In addition, a $200 refundable damage deposit is required and will be returned after the event and upon completion of a satisfactory inspection by the Caretaker. If additional cleaning or repairs are needed, the balance of the costs will be taken out of the $200 damage deposit. Payment and Damage Deposit must be made in the form of two separate cheques. All cheques are to be made payable to the “Nakoma Club”.
Multi-Purpose/ Activities Room - $30.00 – Up to 2 Hours of Use
Theatre Room - $30.00 – Up to 4 Hours of Use
Crafts Room - $30.00 – Up to 4 Hours of Use
Gymnasium - $30.00 – Up to 2 Hours of Use
By placing check mark below, I agree to the rules governing the use of the Rental Room of my choice at the Nakoma Club.
I have inspected rental room which I consider to be safe and well maintained.
I agree to hold harmless The Nakoma Club from any liability that may arise from my function. I further agree that it is understood any misrepresentation as to the nature of the function, or that a breach or non-compliance, of any of the terms and conditions of this contract, or any Bylaw and/or Rule or Regulation of The Nakoma Club, shall result in recovery of costs and/or financial penalties being assessed against me by the Nakoma Club Committee.
I understand that Resident Manager may close the facility in the event of a breach of the bylaws and rules and regulations by any party in attendance at the function. In the event of this occurrence the $200 damage deposit will not be refunded.
I am aware that this application if approved covers use of the rental room of my choice only and that use of other rooms in the Nakoma Club is not allowed by guests.
I am aware that any amount, actual costs or financial penalties, may be assessed by the Nakoma Club Committee against the strata lot of the Owner.
